Pricing and Billing

Pricing and billing of my services depends on the project or work that you need. Please see "Terms and Conditions" for additional important information. It is always best to contact me to discuss your project and get a quote.

:. HOURLY BILLING:
Normally includes desktop publishing, word processing, general office work, internet research, data entry, website maintenance, etc. Hourly billing is done in quarter hour increments after the minimum charge.  
Hourly rate - $25 per hour with a one hour minimum required.
Web Site Maintenance - $50 per hour with a one-half hour minimum required.

:. PER PROJECT:
Web site creation and design is typically priced on a per project basis because every site is unique and the scope of the work varies greatly. Office Assistance projects like bulk mailings are normally also contracted for on a "Per Project" basis. The specifications of your job will be reviewed and a quote issued. Changes in scope of work may result in changes in quoted price. A minimum charge of $10 per Office Assistance project applies (except for scanning which is $2.00 per scan and web design/creation work). An up-front deposit is required before work commences. Amount of deposit will vary depending on the scope of the project.

:. MONTHLY RETAINER:
I offer a Monthly Retainer option which saves you 10% - 15% off regular hourly prices.  The advantages of a retainer is that you are guaranteed the agreed monthly hours plus it provides you with business support flexibility during the month. Payment for retainer packages is required in advance by the first day of the month to which the hours apply.

Level 1 :. For clients who retain my services for 10 hours a month - 10% off the regular hourly rate of $25. ($22.50 per hour - a savings of $2.50 per hour versus the regular hourly rate without retainer)
Level 2 :. For clients who retain my services for 20 hours or more a month - 15% off the regular hourly rate of $25. ($21.25 per hour - a savings of $3.75 per hour versus the regular hourly rate without retainer)
Web Manager Level:. For clients who retain my services for maintenance of their existing websites for a minimum of 20 hours a month - 15% off the regular hourly web site maintenance rate of $50. ($42.50 per hr. a savings of $7.50 per hour) "Maintenance" includes tasks like small daily updates and changes.

Any hours in excess of your contracted Monthly Retainer level will be billed at the discounted rate for your contracted level. Unused retainer hours will not be carried forward or refunded.  Hours may be used in any increment throughout the current month.  

General Terms and Conditions 

A signed agreement/quotation will be REQUIRED BEFORE any work commences.
OFFICE SERVICES: Invoices for Virtual Office Assistant services (not including web design/maintenance services) will be sent with completed work and payment terms are strictly Net 7 from date of invoice. Invoices not paid in full by due date are subject to a late fee as outlined in the agreement/quotation. NOTE to FIRST TIME CLIENTS: Immediate payment via Pay Pal is required upon completion of work PRIOR to release of work.  Based on customer payment history, I reserve the right to require payment in full upon completion of work prior to release of work at any time.

WEB SITE DESIGN/MAINTENANCE SERVICES: Web site design services require an initial down payment BEFORE any work commences. Contracts $400 or less must be paid in full upon signing of contract BEFORE work commences. Contracts over $400 require an initial down payment (normally half the contracted price) as set forth in the contract BEFORE any work commences. Final payment in full will be required BEFORE any finished work is transferred to Client's server to be viewed on the internet as Client's website under Client's chosen URL(s).

PROOFING: Final proof reading is the responsibility of the client. Any errors noted within 24 hours from delivery will be corrected free of charge.

:. Additional Billable Items
Additional expenses may be incurred during the course of completion of your project including, but not limited to, long distance phone charges, shipping or postage expenses, special software purchased at your request, etc. Your invoice total will reflect those charges in addition to any hourly, retainer or "per project" fees. Expenses are charged at cost. 
:. Rush, Weekend/Holiday Service
"Rush service" of 24 hours or less or weekend and/or holiday service will be subject to a 25% surcharge based on final regular cost of work or project before surcharge,
:. Illegible or Poor Quality Source Material
Illegible or poor quality source material is subject to an additional 20% fee. 
:. Invoicing
Invoices for monthly retainer services are sent two weeks prior to the first of the month and are due and payable prior to the first of the month in order for work to commence. Payment terms on balances due are strictly Net 7 upon delivery of finished project for office assistant work performed using "Hourly" or "Per Project" billing. "Per-project" tasks require a deposit before commencement of work. Amount of deposit may vary depending on type of work.
NOTE TO FIRST TIME CLIENTS - Immediate payment via PayPal upon completion of work prior to release is required for first time clients.
:. Estimate v. Actual Cost
All estimates are provided to the best of my ability following initial consultation and review of your project. Final invoice is based on actual project requirements. Differences in excess of 25% between estimated and actual cost will be discussed with the client prior to completion of the work.
:. Method of Payment
Payment may be made via business check, personal check, money order, cash or PayPal. Returned checks subject to a $25 charge.
:. Errors or Omissions
Final proof reading is the responsibility of the client upon acceptance of the work delivered. All errors reported within 24 hours will be corrected free of charge.
